The basics
What is ProBuilt TMS?
ProBuilt TMS is a cloud transportation management system for companies that haul freight, broker it, or both. Dispatching, accounting, compliance and maintenance run in one system, built on Floating Forms, so you can open as many loads, lists and reports as you like at the same time, in one browser tab.
Who is ProBuilt TMS for?
Trucking companies that haul freight, broker freight, or do both. It works for the whole office: your dispatchers, your accounting team and your safety people, with Mobile TMS apps for dispatchers and drivers.
What makes ProBuilt TMS different?
Two things set it apart. Every other browser-based TMS works one page at a time; ProBuilt opens every load, list and report you need at once, in one browser tab, on our patent pending Floating Forms. And it’s the only cloud TMS with full accounting, so dispatch and accounting are one system, not two that never agree.
Is it cloud-based? Do I have to install anything?
ProBuilt TMS is a cloud system that runs in your web browser, in one tab. Your dispatchers and drivers also get the Mobile TMS apps for iOS and Android.
Is it a complete system?
This isn’t some starter system. ProBuilt TMS brings dispatch and brokerage with a built-in load board, full accounting and payroll, safety and compliance, maintenance, NextLoad, internal messaging, a file server, the Mobile TMS apps and Design AI together in one system.
Will my dispatchers still need spreadsheets?
Dispatchers don’t want a dispatch system they have to prop up with spreadsheets, and ProBuilt TMS doesn’t need any. The planning tools are built in to help them find and assign the best next load, and the work that needs doing is front and center.
Can several people and offices work in it at once?
Everything in ProBuilt TMS is live and synchronized on screen, between users and even between offices.
What’s new in ProBuilt TMS?
Two big ones. NextLoad, which shows you who should haul every load, and ProBuilt Maintenance, which puts your trucks, trailers, shop and parts in the same system as everything else.
Floating Forms
What are Floating Forms?
Floating Forms is ProBuilt’s patent pending multitasking architecture. Instead of one page at a time, it gives you a workspace in your browser: one tab where you open as many loads, lists and reports as you like, side by side, all live.
What does “one page at a time” mean?
It’s how every other browser-based TMS works: one load, one dispatch, one page, period. We call it OPAT, and it kills productivity: decisions take longer and opportunities get missed. ProBuilt TMS opens everything you need at once.
Can I open more than one load at a time?
As many as you like, each in its own window, in one browser tab. Every other TMS forces you to open exactly one page at a time. Are you tired of only being able to open one load record at a time? We would be too.
How is that different from opening more browser tabs?
Browser tabs are separate pages you flip between, and in a typical web TMS every step is another page load. In ProBuilt everything opens as a window in the same tab, side by side, so the load, the driver and the invoice are all on screen at once, live and synchronized.
Is Floating Forms patented?
It’s patent pending: US Application 19/039,221. Our polygon search for the load board is patent pending too.
Dispatching and the load board
What does the Dispatching module do?
Full truckload dispatch and brokerage, automated freight and accessorial rating, automated driver and carrier pay calculations, a built-in load board with patent pending polygon search, routing and mileage with maps, and Mobile TMS for dispatchers and drivers. And your dispatchers can work on several problems at once.
Does it handle brokerage?
ProBuilt TMS does full truckload dispatch and brokerage, so it fits whether your company hauls freight, brokers it, or does both.
Does ProBuilt TMS have a load board?
ProBuilt TMS has a built-in load board. Every other load board searches by city, state and radius, only. ProBuilt’s patent pending polygon search finds the freight going from and to where you need it, not within two hundred miles of it. And you can open as many loads at once as you need.
What is polygon search?
It’s our patent pending way to search for freight. Instead of a city, a state and a radius, it finds the loads going from and to where you need them, not within two hundred miles of them.
Does it do routing and mileage?
Routing and mileage calculations with maps are built into ProBuilt TMS, and the Mobile TMS apps have mapping for your drivers too.
Does it rate loads automatically?
Freight and accessorial rating is automated in ProBuilt TMS, and so are driver and carrier pay calculations.
Does it calculate driver pay?
Driver and carrier pay calculations are automated in ProBuilt TMS.
How far ahead should we book a driver’s next load?
About 3 to 5 days before the current dispatch ends, for a carrier. A broker needs loads dispatched 3 to 5 days before pickup. Any later and the carrier earns too little, and the broker spends too much. When the timing is right, both companies make more money, and ProBuilt TMS is built to help you make that call at the right time.
What do Plan and Progress show on the dispatch board?
Plan shows the legs built into a load: pickup, linehaul, drop and delivery, or any mix of them. Progress shows where each of those legs stands, one square each. And every load sits in the group for where it stands, pending, assigned, enroute or brokered, so your dispatchers read the whole board at a glance.
NextLoad
What is NextLoad?
NextLoad is new in ProBuilt TMS. Every other TMS shows you a list of loads; NextLoad shows you who should haul them. It looks at every driver against every load, plays each driver’s clock forward, and only suggests trips that are legal and on time. It proposes. You dispatch.
Does NextLoad follow hours of service?
NextLoad plays each driver’s clock forward: the 11-hour drive, the 14-hour window, the 30-minute break and the 70-hour cycle, with fuel stops and two hours at every dock. Every pairing is checked against the driver’s hours and the pickup and delivery windows before you see it.
What can NextLoad plan for?
You pick what matters most: fewer empty miles, more revenue, more profit, or fair pay across your drivers. Then it plans the whole board around it.
Does NextLoad dispatch loads on its own?
NextLoad proposes and you dispatch. You decide what matters most, and if you drag a driver onto a load on the map, it keeps your call, as long as the driver can legally make it, and replans everything else around it.
Can I see every stop on a trip before I dispatch it?
Click any trip on NextLoad’s map and it draws the route with every break, fuel stop and reset the driver’s clock makes along the way.
Accounting and payroll
Does ProBuilt TMS include accounting?
ProBuilt TMS has full accounting, and it’s the only cloud TMS that does. It covers automated billing, receivables and payments, accounts payable, bank and credit card accounts, payroll, and financial statements with drill-down in every report.
Do I still need a separate accounting package?
ProBuilt TMS has full accounting built in, in the same system as dispatch: billing, receivables and payments, accounts payable, bank and credit card accounts, payroll and financial statements.
Why does it matter that dispatch and accounting are one system?
When accounting isn’t part of your dispatch system, you’re working twice as much and your numbers never add up. That costs you time and money. In ProBuilt TMS, dispatch and accounting are one.
How do billing and receivables work?
ProBuilt produces and emails invoices and collects electronic payments, with several kinds of automated billing, collections tools and receivables analysis. With its multitasking design, departmentalized structure and interface with Stripe, billing and receivables are faster and more accurate.
Does it handle accounts payable?
ProBuilt manages vendors, bills and payments, with features for timely posting of electronic payments and for managing bills you receive with terms.
Does it handle bank and credit card accounts?
ProBuilt Accounting cuts the work of keeping your bank and credit card accounts updated and reconciled, with data import and automated postings, so you stay on top of the cash that runs your business.
Does ProBuilt TMS do payroll?
ProBuilt TMS has full-service payroll. It handles federal and state tax calculations, tax reporting and payments, direct deposit, and your 941s, 940s, W-2s and 1099s. Your people also get an online portal for their pay statements and time-off requests.
What financial reports are there?
Profit and loss, balance sheet, cash flows, general ledger and more. Every report has drill-down, so you can go from a number straight to what’s behind it.
Is it real accounting or just invoicing?
Real accounting. It’s general ledger based and departmentalized, with full financial reporting and full-service payroll, not a billing add-on.
Can I go from a number on a report to what’s behind it?
Every report has drill-down, so you can go from a number on a financial statement to the transactions behind it. And because ProBuilt opens as many forms, lists and reports as you like in one browser tab, the report stays open while you look.
Safety and compliance
What does the Compliance module do?
It organizes and documents every safety activity: an accident register with process tracking, cargo claims tracking that reduces final costs, and driver and equipment compliance tracking, all integrated with dispatch.
How does it handle accidents?
ProBuilt stores and organizes the photos, statements, videos and other records from an accident, so the facts are there when you need them. And your safety people can open as many photos and records at once as they like.
Does it handle cargo claims?
Cargo claims can cost you money, customers and drivers all at once. ProBuilt gives you the tools to gather the information, resolve claims quickly and limit the damage.
Does it track driver and equipment renewals?
Driver and equipment compliance tracking keeps renewals for drivers, equipment, insurance and registration on one calendar. With ProBuilt Maintenance, inspection and registration due dates flow straight onto it.
Can my safety people open more than one record at a time?
As many as they like, in one browser tab: drivers, trucks, trailers, accidents and claims, with every photo and statement open at once. Of the few cloud TMS systems that handle safety at all, not one can open more than one accident photo at a time.
Does it show what a claim really cost?
Every claim record adds it up the same way: what you paid the customer, plus the revenue you lost, less what was reimbursed, is the claim’s total cost. The claim, its statements and the follow-up with the driver stay on the same record.
Maintenance
What is ProBuilt Maintenance?
It’s new in ProBuilt TMS: your trucks, trailers, shop and parts in the same system as dispatch, accounting and compliance. Work orders, preventive maintenance and parts inventory, all open at once on one screen.
How do work orders work?
Every work order is on one board, organized by status: pending, scheduled and in the bay, with estimated and actual dates, who’s doing the work and what it costs. Your own shop, an outside vendor or a repair on the road: they’re all work orders, and they all go into the unit’s history. A finished work order becomes a locked, permanent record, and you can copy one to repeat a job.
Does it handle preventive maintenance?
PM Service A, B and C come pre-programmed in ProBuilt Maintenance, from the basic oil and filter service up to major preventive maintenance, and so do the annual Department of Transportation (DOT) inspections for your trucks and trailers. Each one already knows how often it comes due. Add a service to a work order and its whole kit of parts comes with it.
Does it track parts inventory?
Parts Inventory shows every part on one line: how many are on hand, how many have gone out and how many are on order, along with how many you require on the shelf, your reorder quantity and how many you need to buy right now. Parts go out on work orders, tied to a unit, so you always know which truck a part went on.
Does maintenance post to accounting?
It posts on its own. Finish a work order and the parts, labor and outside vendor charges post to the right accounts in ProBuilt Accounting, and your inventory value updates on its own. Nobody enters anything twice.
Does it handle DOT annual inspections?
The Department of Transportation (DOT) annual vehicle inspection report is built right in, and inspection and registration due dates flow straight into ProBuilt Compliance.
Does it handle trailers and reefers?
There’s a board for trucks and a board for trailers, each with its own work orders, and reefer trailers carry their California transport refrigeration unit (TRU) dates too.
Does it keep a maintenance history?
Every finished job adds to the unit’s maintenance history, and you can search it by unit, by vendor or by status in seconds.
Messaging, files and mobile
Does ProBuilt TMS have internal messaging?
Email messages get lost. ProBuilt’s internal messaging replaces email for the conversations inside your company, with direct messages and group conversations, and it carries your records, forms and reports right into the conversation. It’s in Mobile TMS too.
Can I store files and documents in ProBuilt?
The File Server keeps record attachments and loose files together, in any folder structure you like: 100 GB of storage, private folders for the people you choose, administrator-based security and multi-layered archiving on Amazon Web Services. It’s in Mobile TMS too.
Is there a mobile app?
There are two Mobile TMS apps, for iOS and Android: one for dispatchers and accounting staff, and one for drivers. Both enter and edit data right in the TMS, and drivers and dispatch stay in touch the whole way.
What can drivers do in the app?
There’s a Mobile TMS app for drivers, on iOS and Android. Drivers record their arrivals and departures and their loading and unloading times, capture documents, use the maps and stay in touch with dispatch, and it all lands right in ProBuilt TMS.
Is my data secure?
Messaging and the File Server have full administrator-based security, and the File Server adds private folders for the people you choose and multi-layered archiving on Amazon Web Services. Your data is not used to train AI models, either. For anything deeper, ask our team in a demo.
Can I keep some folders private?
The File Server has private folders, open only to the people you permit, under full administrator-based security.
Can I get to my files from my phone?
The File Server is in Mobile TMS too, so the people you permit can get to your files from anywhere.
Will people know when they have a message?
Messaging has a notifications system that alerts users, on the web and in Mobile TMS.
Is there an app for dispatchers and accounting?
One of the two Mobile TMS apps is for dispatchers and accounting staff, on iOS and Android, and it enters and edits right in ProBuilt TMS.
Design AI
What is Design AI?
Tell Design AI the form you need in plain language, and it builds the form, its table and its list inside ProBuilt TMS, right on the main menu next to everything else. Most AI tools build you an app somewhere else. Ours builds inside your TMS.
What AI does ProBuilt use?
ProBuilt’s AI is powered by Anthropic’s Claude, chosen for its accuracy on document and database tasks and for its enterprise privacy posture.
Is my data used to train AI?
Your data is not used to train the AI models, and it never will be. And every AI action is auditable.
Where does the data from my AI-built forms go?
Into your own ProBuilt database, not an AI server. Your new forms open from the ProBuilt main menu right alongside every other feature, and their data works with the rest of your data.
Is Design AI a separate product?
Design AI is built into ProBuilt TMS. Not a separate product, and not a separate login.
What can I build with Design AI?
Forms for whatever your operation keeps on paper or in a spreadsheet: a yard check, a tarp and strap checkout, shipper dock notes, a driver orientation checklist. Design AI builds each form with the table that stores it and the list to find it again. They open as floating forms from your ProBuilt main menu, and a data combo box can pull live from the rest of ProBuilt TMS, like your drivers or your customers.
Can a custom form have its own rules?
Every form has its own logic, laid out as a simple map. Tell each button what to do: save to a table, check that the required fields are filled, compare two fields, show your own message or open the next form. AI can draft it, and you have the final say.

The company
Who makes ProBuilt TMS?
ProBuilt Software Inc., in The Woodlands, Texas, north of Houston. We design, build and support it in-house. We invented the first live dispatching system in 1991, and before that we were dispatchers, accountants and drivers.
How long have you been in trucking software?
The people behind ProBuilt invented the first live dispatching system in 1991, and before that they were dispatchers, accountants and drivers. Thirty-five years later, they’ve invented the TMS again: ProBuilt TMS is a clean sheet design for how trucking works today.
Is ProBuilt the same as PCS Software?
ProBuilt TMS isn’t PCS Software’s TMS. It’s a clean sheet design for today’s trucking industry. The link is history: we invented the first live dispatching system in 1991, the same system PCS Software sells today.
Why should I switch from my current TMS?
Because your TMS should keep up with you. Most TMS systems were designed in the 1990s. Every other browser-based TMS still works one page at a time. ProBuilt TMS is a clean sheet design for how trucking works today: every load, list and report open at once, with full accounting in the same system. See it in a demo and judge for yourself.
